A commitment to employee Wellness including work-life balance A commitment to a diverse, supportive and equitable workplace A commitment to a culture of safety and of mutual respect that is free from discrimination and harassment JOB PURPOSE The Physician Recruitment / Medical Affairs Coordinator will be responsible for all aspects of physician recruitment activities as well as providing medical affairs and administrative support to the Physician group for the Kirkland and Englehart District Hospitals. The successful applicant will work flexible hours including evenings and weekends, within the context of normal full-time hours. Travel will be required, including in winter months (driving and periodically flying). In addition to this, a requirement to accept calls and meet with individuals at varied hours, as needed, will be expected to enhance recruitment efforts. DUTIES & RESPONSIBILITIES Physician Recruitment Assists the Executive team and Chief of Staff in the development of physician recruitment plans / goals which includes physician recruitment communication strategies (including advertising, resident-related events and activities, marketing and promotional materials, and website maintenance). Facilitates and coordinates physician recruitment activities and answers e-mail and phone enquiries from prospective locum and permanent physicians, following up with prospective residents and medical students, and coordinating with other organizations or departments regarding common recruitment activities. Lead the recruitment process which includes engaging local physicians and involvement of key community partners in the interview process for prospective physicians and coordinating new physician / locum orientation. This also includes being familiar with our physician groups and their roles, promoting our communities and their resources, and coordinating Hospital and Community tours and events. Must establish a network of physician recruitment contacts / referrals through attendance at recruitment fairs, residency academic days, visits to medical schools and programs and continuously seek out new recruitment opportunities and methods of marketing/advertising. Maintain a current locum orientation manual and a community orientation manual for locum apartments. Develops a comprehensive annual calendar of recruitment activities to be attended, coordinates event participants, finalizes travel arrangements and provides follow-up to attendees and prospective candidates. Provides input into the physician recruitment budget. Maintains knowledge of medical school student and residency experience and initiates activities to maximize the recruitment value to the region. Plans, coordinates and facilitates medical student and resident rotations in conjunction with physician preceptors. Prepares reports to inform senior management of status / progress with recruitment and retention initiatives. Medical Affairs Responsible for the locum physician program including the coordination of credentialing and clinical rotations, the booking and provision of accommodations, and associated activities. Ensures that physician scheduling is timely and accurate with regards to entering, publishing information into the scheduling software and distribution to the physician group. Fosters a productive and trusting relationship with the medical staff by anticipating and responding to issues as they arise; and ensuring that effective communication strategies and methods that promote physician awareness and engagement are in place. Responsible for hospitalist stipend payments. This involves updating the annual payment chart, obtaining hospitalist billing information from billing agents, completing and forwarding payment requests to Finance, sending hospitalist stipend payment and billing sheets to community and locum hospitalists. Liaison with Health Force Ontario (“HFO”) and completing associated invoicing and administrative duties. Remains familiar with the types of licensing available and the criteria established by the College of Physicians and Surgeons of Ontario. Knowledgeable about the payment processes/agreements for physicians and incentive programs employed in the region in order to effectively answer candidate questions as necessary. Oversee preparation of itinerary and Community Assessment Visit (‘CAV’) processes including the request for funding to the MOH for the CAV and the coordination of appropriate meetings for the negotiation of terms of employment. Assist Chief of Staff and Lead Physicians with administrative duties. Attend Medical Advisory Committee (‘MAC’) meetings as required. Provides administrative support for the Local Education Group (LEG) including annual reporting, facilitating faculty appointment, attending annual conference, and preparing physician teaching stipends. Facilitates physician continuing education sessions. Acts as liaison between the local education group and Ontario medical schools for site visits, curriculum planning, and rotation expectations. QUALIFICATIONS/REQUIREMENTS: Post-secondary education in health related discipline and/or Business Administration or related field. A minimum of five years’ experience with increasing responsibilities in healthcare administration or physician recruitment. Excellent computer skills including proficiency in Microsoft Office Suite, and Internet based applications. Excellent communication and interpersonal skills. Excellent organization skills and attention to detail. Ability to achieve results effectively through collaboration and organizational awareness. Demonstrates personal effectiveness through professional, interpersonal sensitivity and presence. Able to think critically, discern relevant information and make effective decisions based on sound judgment. Strong conflict management and problem resolution skills. Commitment to maintaining strict confidentiality. Valid driver’s license required and reliable means of transportation. Bilingualism is preferred.
